Calculating Sums in a Table

Purpose:
To get totals in a table.  For example, you have a table with the amount of office supply sales for the week. You want the totals for every day and for each product.
   
 
     
1.   We have our table with the week's sales of pencils, pens, and calculators.

   

 


   
2.   Click on View, then Toolbars, and then Tables and Borders.

   

 


   
3.   The Tables and Borders toolbar will appear. You might have to move it out of your way where it is not blocking the view.

   

 


   
4.   Place your cursor in the last cell of the MONDAY column. Click on the AutoSum icon on the toolbar (it has the red circle around it), and the total will appear for that day.

   

 


   
5.   Do the same for the remaining days. Place the cursor in the TUESDAY column, and click the AutoSum icon. Repeat for the rest of the days.

   

 


   
   


   
6.   Place your cursor in the last cell of the Pencil row, the cell right under the word TOTAL. Once the cursor is there, click the AutoSum icon and the total pencil sales will appear.

   

 

   
7.   Getting the totals for the Pens and Calculators will be different. If you place the cursor in the Pens TOTAL column and hit the AutoSum, you'll see 45088 appear, and that's incorrect. We need to use a formula. Place the cursor in the Pens TOTAL cell. Click on Table and then Formula on the menu bar. The Formula window will display.

   

 

 

   
8.   In the Formula window, we want to remove the ABOVE and replace it with B3:F3.  This is the cell range for the pencil sales. Think of the columns being labeled as A-F and the rows 1-4.  You won't see these labeled in Word, but just imagine this is how they are. We want to get the sum for total amount of pens sold through the week. Therefore, we need to put the cell range in for our calculation. The first number for sold pens is in cell B3. (you always list the letter first). The last number is F3. That's how we determine how cell range to be B3:F3. Word will add all the numbers in that range. The formula in the window will give us our total pens sold. Click OK.

   

 


   
9.   Now we have the total number of pens sold.

   

 


   
10.   We'll use the same steps to calculate the total sales for calculators. In the formula window, the range is B4:F4. Click on Table and then Formula. and enter the correct range.
   


   
11.   Click OK and the total calculator sales will be displayed.
